Conference Session Tracks

Conference sessions and activities are organized into three tracks that reflect the Foundation’s mission: CONNECT, CARE, and CURE, and align with this year’s theme, The Climb We Make Together.

These pillars guide everything we do: supporting families, improving clinical care, and driving research. At the PMSF Family Conference, these goals come together to transform today’s barriers into tomorrow’s breakthroughs,  achieving a world where Phelan-McDermid syndrome is treatable and curable and every person and family affected is thriving.

CONNECT (Basecamp)

These sessions and social activities provide opportunities to meet others who live with Phelan-McDermid syndrome to share, learn from, and support one another. Sessions will be in various formats led by expert panelists and speakers, including family members. 

CARE (Ascent)

CARE sessions have a clinical focus – from diagnosis to symptom management. These sessions will be a mix of oral presentations, panel Q&A, and poster presentations. The topics are rooted in current knowledge and what can be done now. They are also focused on efforts to increase visibility among clinicians about Phelan-McDermid syndrome.

CURE (Summit)

These sessions will cover the cutting-edge research that informs therapeutics. CURE sessions will be a mix of oral presentations, panel Q&A, and poster presentations. We will cover from start to finish how new findings are discovered in labs around the world, tested in models of Phelan-McDermid syndrome, and make their way to clinical trials.

Conference Registration

Registration for the 2026 PMSF Family Conference opened January 12, 2026. We encourage families to review the information below before registering to understand what’s included, pricing options, and what happens after you sign up.

Once you complete conference registration, you’ll receive links to reserve your hotel room at the PMSF conference rate and to register separately for daycare or sibling programs, if needed.

The PMSF hotel room block is currently sold out for several nights of the conference. We are in the process of securing an additional, smaller block at a nearby hotel and will share those details as soon as they become available.

Please note: Sessions will be held all day Saturday, July 18. There will be an informal breakfast meetup on Sunday, July 19 to say your farewells.

When does registration open and close?

Registration opened on January 12, 2026, and closes on June 28, 2026, unless capacity is reached earlier.

Early bird registration pricing was extended through March 31, 2026 and is now closed.

What does registration include for an adult (18+) ?

Adult conference registration includes:

  • Access to all conference sessions and workshops
  • Admission to conference-wide activities and meetups
  • Access to the Sensory Room during conference hours (waiver required)
  • Community dinner on Thursday evening
  • Light food (not dinner) during Friday evening community event
  • One adult conference t-shirt
  • One conference t-shirt for your loved one with Phelan-McDermid syndrome (child or adult)

Adult conference registration does NOT include:

  • Hotel accommodations
  • Ground transportation to and from hotel and airport
  • Meals (except dinner on Thursday and light food on Friday evenings)
  • Day care (requires separate registration with vendor)
What does registration include for children ages 2–17?

The PMSF Family Conference is a family-centered event, and we welcome siblings to attend and participate.

Registration for children ages 2–17 includes:

  • Admission to conference-wide activities and meetups
  • Access to the Sensory Room during conference hours (waiver required)
  • Community Dinner on Thursday evening
  • Light food during the Friday evening community event
  • One conference t-shirt (youth or adult)

Please note: Daycare and sibling programs are not included with child registration and require separate registration with Plus One Meetings if needed.

What is early bird pricing?

Early bird pricing opened January 12, 2026 through March 31, 2026:

  • Adults (18+):
    • Early bird price: $300
    • Regular price: $350
  • Children (ages 2–17):
    • Early bird price: $150
    • Regular price: $200
  • Individuals with Phelan-McDermid syndrome: $10
  • Virtual registration: $100

Registration fees will increase after the early bird period.

Thanks to the generous support of our donors and sponsors, PMSF is able to offset a significant portion of the true cost of the conference, allowing families to pay only part of the overall expense. In addition to this subsidies and thanks to the generous support of our sponsors, we have been able to remove transaction fees and additional administrative costs for conference registration for families, saving families an average of over $50 for a family of four.

What does the conference cost cover?

Conference registration fees help cover essential conference costs, including meeting space, audiovisual services, Thursday’s dinner, coffee breaks, Friday evening light food, community events, accessibility accommodations, professional staffing, safety planning, and specialized childcare infrastructure.

Thanks to the generous support of our donors and sponsors, PMSF is able to offset a significant portion of the true cost of the conference, allowing families to pay only part of the overall expense. In addition to this subsidies and thanks to the generous support of our sponsors, we have been able to remove transaction fees and additional administrative costs for conference registration for families, saving families an average of over $50 for a family of four.

Is virtual registration available?

Yes. Virtual registration is available for select main ballroom sessions. 

What happens after I register?

After completing conference registration, you’ll receive a confirmation email with:

  • A link to reserve your hotel room at the PMSF conference rate
  • A link to register for daycare or sibling programs (if applicable)
Do I have to use conference daycare to attend sessions?

No. Daycare is optional. Families may choose the participation option that works best for them, including bringing their own caregiving support, attending sessions together, or taking breaks as needed throughout the conference.

What participation options are available if we don’t use daycare?

Families may choose to:

  • Bring their own caregiving support

  • Visit the self-supervised Sensory Room (waiver required) located in the conference area

  • Participate in PMSF meetups and informal gatherings with other attendees

  • Explore the hotel and surrounding area

What if my child needs breaks, movement, or space during sessions?

Select sessions from the main ballroom can be live streamed to personal devices. This allows families a chance to step out as needed offering additional flexibility when children need movement, quiet time, or a chance to vocalize.

Where can I learn more about daycare and sibling programs?

Can my child use the Sensory Room if I’m not using daycare?

Yes! The Sensory Room is available to any registered conference attendee who signed the sensory room waiver during registration. It’s a self-supervised space for children to play, explore, and participate in quiet activities. Children under 10 must be accompanied by an adult. Any child or adult over the age of 10 that requires supervision and monitoring must be accompanied by an adult. This is not a drop-off program, and families are welcome to use it on their own schedule.

Can I register now and make changes later?

Yes. Families may update their registration details at a later time. If your plans change and you need to cancel, please review the cancellation policy in the FAQs below.

What is the cancellation policy?
  • No penalty for cancellations before June 1, 2026
  • A 50% cancellation fee applies to cancellations between June 1 and June 28, 2026
  • Registrations are non-refundable after June 28, 2026

Special PMSF conference attendee room pricing is available through June 22, 2026, or until the block of rooms being held for us at this rate is sold out. The block rate is available two days before and two days after the conference, based on availability.

Hotel Reservations and Hotel Cancellations

The Gaylord Rockies offers a variety of accommodations for those with special needs; be sure to discuss your needs when booking your room(s).

A deposit equal to one night’s stay is required to hold each individual’s reservation. Credit cards will be charged prior to arrival. Should a guest cancel a reservation, the deposit will be refunded if notice is received at least five (5) working days prior to arrival, and a cancellation number is obtained.

Room Rates

The block rate is $259 USD per night plus taxes and fees (see below) for a room with either two double beds or one king bed (single or double occupancy). Triple or quad occupancy will be a $20 additional charge per person, per room, per night. Children twelve and under are free when occupying the same room as their parents.

Taxes and Fees

Applicable taxes and fees will be added to room rates. The total tax is presently 12.75%, which includes the Aurora Lodging tax (8%), Colorado State tax (2.9%), Adams County tax (0.75%), Cultural District tax (0.10%), RTD Commuter Rail tax (1.0%).

An additional $2 Aurora Destination Marketing Fee will apply daily. Room rates will be subject to a non-commissionable public improvements fee (currently 2.5% of the room rate per room per night) in effect at the time of check-in.

There is also a required resort fee of $28/day, which allows access to the resort campus, resort activities, water park, fitness center, and more. The resort fee** is separate and distinct from the room rate and from taxes.

PMSF is pleased to offer daycare and sibling camp experiences provided by Plus One Meetings, our trusted childcare partner. Plus One Meetings has supported PMSF conferences since 2018 and brings extensive experience working with children and adults with diverse support needs.

After completing conference registration, you’ll receive a confirmation email with the link to book your hotel room using the PMSF conference rate.

Daycare Options for Individuals with Phelan-McDermid Syndrome

Available for Phelan-McDermid syndrome individuals of all ages

1:1 Support Ratio — Highest Support

Each Phelan-McDermid syndrome individual is paired with one dedicated caregiver.

This option is recommended for Phelan-McDermid syndrome individuals who require continuous one-on-one supervision or assistance, including those who may be at risk for:

  • Elopement
  • Choking or mouthing items
  • Falling
  • Grabbing, biting or harming others
  • Aspiration 
  • Other safety concerns requiring constant oversight and monitoring

Families selecting this option will be asked whether they grant permission for the caregiver to take their Phelan-McDermid syndrome individual on supervised walks around the hotel campus.

Please note: excursions will not include the waterpark area.

If you would like your Phelan-McDermid syndrome individual to explore the hotel campus with their caregiver, you must select this 1:1 highest support option. Your loved one with Phelan-McDermid syndrome may not leave the daycare area without the 1:1 highest support option. 

1:2 Support Ratio — Lower Support

One caregiver provides shared support for two Phelan-McDermid syndrome individuals.

This option is intended for more independent Phelan-McDermid syndrome individuals who:

  • Do not require continuous one-on-one supervision
  • Can safely participate in structured activities with shared support
  • Are comfortable remaining within designated daycare spaces
  • Are able to follow basic verbal instructions

Please note: If your Phelan-McDermid syndrome individual will want to walk around the hotel campus, the 1:1 highest support option is required.

Daycare & Camp Options for Siblings

Age-appropriate care and activities

NEW for 2026: Sibling Camp offers siblings their own engaging conference experience, combining structured camp-style programming with supervised participation in activities across the Gaylord Rockies resort. While parents attend conference sessions, siblings can connect with peers, build friendships, and enjoy a variety of fun and age-appropriate activities led by experienced Plus One Meetings staff.

Sibling Daycare (Ages 0–5 years)

Children ages 0–5 will remain in the daycare rooms and participate in age-appropriate activities.

Staff-to-child ratios:

  • Infants under 12 months: 1:2 ratio
  • 12 months to under 3 years: 1:3 ratio
  • 3 to 5 years: 1:4 ratio

This option mirrors the sibling daycare offered at past PMSF conferences.

*NEW* Sibling Camp (Ages 6 years and up)

Siblings ages 6 and older will participate in a supervised camp-style program designed specifically for PMSF conference siblings.

Throughout the day, children will enjoy a mix of activities held in the daycare rooms and across the Gaylord Rockies campus, always accompanied by Plus One Meetings staff.

Unlike past conferences that included individual offsite outings, this year’s Sibling Camp focuses on creating a cohesive on-site camp experience, allowing siblings to participate in a wide range of resort activities together while remaining fully supervised within the conference environment.

  • Structured activities — not just supervision
  • Confidence that children are safely engaged while parents attend sessions

Group sizes and ratios:

  • Ages 6 to under 8: 1:6 ratio
  • Ages 8 and up: 1:8 ratio
  • Groups of approximately 6–8 children, based on age

Examples of camp activities may include:

  • Ice breakers and team-building games
  • Tennis, basketball, pickleball, and mini golf
  • Outdoor lawn games
  • Arts & crafts
  • Movie afternoons
  • And more!

Please note: camp activities will not include the waterpark area. 

Sensory Room

What is the Sensory Room?

The Sensory Room is an unsupervised, self-directed play space available to children attending the conference. It will be located within the conference center and designed as a calm, flexible environment with toys, games, and arts and crafts.

Children under the age of 10 must be accompanied by an adult at all times. Any child or adult over the age of 10 that requires supervision and monitoring must be accompanied by an adult

The Sensory Room will offer a mix of scheduled activities and open play times, allowing families to use the space as needed throughout the conference.

Please note: The Sensory Room is not a drop-off program and does not provide childcare or supervision.

Is the Sensory Room part of the daycare program?

No, the Sensory Room equipment is provided by Plus One Meetings but separate from their daycare and sibling camp programs. Children in daycare may visit the Sensory Room under daycare supervision during scheduled activities, but use of the room outside those times is not supervised by staff.

Rope Team Travel Assistance Fund

Because No One Should Climb Alone

A rope team is a group of climbers tied together with a rope so they can protect each other while climbing steep and dangerous slopes. In the Phelan-McDermid syndrome community, we are a rope team, connected by shared experiences, challenges, and hope. Just like a mountain climbing team, we ensure no one is left behind.

Inspired by this year’s theme, The Climb We Make Together, the Rope Team Travel Assistance Fund helps ensure that financial barriers do not prevent families from attending the PMSF Family Conference.

The application window for the Rope Team Travel Assistance Fund closed on April 10. Grant recipients will be notified on April 24. Please email conference@pmsf.org with questions.

The Rope Team Travel Assistance Fund is made possible by the DeFlorio family and other generous supporters of the PMSF community.

Who is eligible to apply?

The Rope Team Travel Assistance Fund is designed for individuals and families who would not be able to attend the 2026 PMSF Family Conference without financial support.

Applicants must:

  • Be 21 years of age or older

  • Be immediate family members of an individual with Phelan-McDermid syndrome attending the conference, including parents, guardians, primary caregivers, siblings living in the same household, or the individual with Phelan-McDermid syndrome

  • Intend to attend the full conference

  • Demonstrate financial need through self-attestation

What types of assistance are available?

Two options are available through the Rope Team Travel Assistance Fund:

Individual Climber

Designed for parents, guardians, or primary caregivers attending the conference on their own.

This support may include:

  • Full conference registration for one (1) attendee

  • Up to four (4) hotel nights at the PMSF conference hotel (if the Gaylord Rockies reaches capacity, accommodations will be provided at a nearby hotel selected by PMSF.)

  • A travel stipend, with amount determined by distance from the conference location and method of travel (the travel stipend is intended to cover costs associated with airfare, meals not provided at the conference, ground transportation, etc.)

Family Climber

Recognizes that caregiving and family responsibilities are part of the climb by supporting families who wish to attend together.

This support may include:

  • Full conference registration for immediate family members and/or caregiver (up to four attendees)

  • Up to four (4) hotel nights at the PMSF conference hotel (if the Gaylord Rockies reaches capacity, accommodations will be provided at a nearby hotel selected by PMSF)

  • A per person travel stipend, with amounts determined by distance from the conference location and method of travel

How are recipients selected?

Funding for the Rope Team Travel Assistance Fund is limited, and applying does not guarantee that assistance will be awarded.

Applications will be prioritized based on financial need and first-time conference attendance.

This program is not first-come, first-served.

If applications exceed available funding, eligible applicants will be selected randomly within each grant category using an online random selector. No personal identifying information is used during the random selection process.

Can I apply if I’ve already registered for the conference?

Yes. If you have already registered and later receive assistance, your conference registration fees will be refunded.

Do I need to register for the conference before applying?

No. You may apply for the Rope Team Travel Assistance Fund before registering for the conference.

What expenses can the travel stipend be used for?

The stipend may be used for travel-related expenses such as:

  • Airfare

  • Ground transportation

  • Meals not provided by the conference

  • Other travel expenses related to attending the event

If a recipient does not attend the conference, the travel assistance support will be forfeited, and the stipend must be returned to PMSF.

Helpful Hints
  • Start with your State Medicaid or HCBS Waiver. These programs may be able to cover conference registration. Talk with your waiver support contact to learn more.

  • Before submitting any funding application, confirm with the organization that the program is still active and your request is eligible.

  • If you need verification from PMSF about the conference, you can share our conference webpage.

  • Submit all forms before the listed deadline and follow the instructions carefully.

  • If you receive funding, send a thank-you note to the organization.

  • If you have a flexible spending account (FSA), check whether conference expenses are eligible.

Local Community and Service Organizations
State or Region Specific Programs

These organizations offer grants for families in specific states or regions:

  • The Different Needz Foundation has approved grants for services and equipment. The Foundation’s reach includes recipients in  Ohio, Wyoming, Massachusetts, Florida, Maryland, Indiana, and California.
  • Hannah & Friends provides funding for a program called Hannah’s Helping Hands, which funds quality of life  grants for families that care for children and adults with special needs in Rhode Island, New Jersey, New York,  Florida, Indiana and the Michiana area.
  • The ATI Foundation is committed to aiding children with physical impairments in need of medical  resources, equipment, and funding to enhance and sustain a better quality of life. The child must live in  Delaware, Illinois, Indiana, Maryland, Pennsylvania or Wisconsin
  • The Ingeborg A. Biondo Memorial Foundation financially assists  developmentally, neurologically and physically challenged individuals in the tri-state area of Pennsylvania, New York and New Jersey.
  • StarNet has a Family Fellowship to reimburse parents for the expense of attending workshops, seminars, or conferences, up to $200 annually for Chicago-area families only
  • The Children at Home Grant may be used to cover some of the costs related to parent/guardian education for Iowa families only.
Additional Funding Leads
  • Check with your local church, synagogue, or community center for financial assistance.
  • Explore your local or state Autism organization and the Autism Society’s resource database.
  • Contact your state’s Department of Education, school district, or Area Education Agency for leads on inclusion or family support programs.
  • The National Dissemination Center for Children with Disabilities has lists of the different agencies serving your state.
  • Search parent Facebook groups or online rare disease communities for state-specific ideas.
  • Military families may find support through the VFW or American Legion.
  • Explore online fundraising tools like SupportNow or coaching platforms such as Advocacy Abby.
State Councils on Developmental Disabilities

Every U.S. state has a Council on Developmental Disabilities that may fund family participation in conferences or trainings. Some states ask that you share what you learn at the conference with others in your community.

Kyle's Angels Scholarship 2026

Thanks to the generous support of many Phelan-McDermid syndrome families, as well as individuals reached through educational outreach at craft shows and annual auctions, Kyle’s Angels is pleased to offer scholarships for the 2026 PMSF Conference.

For the 2026 conference, Kyle’s Angels will award one scholarship per eligible family that has not previously attended a PMSF Family Conference. Eligibility is based on a household income of less than $80,000 per year.

This scholarship is intended to assist families who might otherwise be unable to attend the PMSF Family Conference. In some cases, funding may be available to support up to two nights of conference attendance, depending on available resources.

Community-based civic organizations may also offer full or partial funding for individuals and families to attend conferences related to disability research, advocacy, and services. Applicants are encouraged to explore local funding opportunities in addition to submitting this scholarship request.

If a recipient is unable to attend the conference, the awarded scholarship will be forfeited. Kyle’s Angels and PMSF are not responsible for domestic or international travel matters, including visa issues, flight cancellations or delays, or injuries incurred during travel.

Due to anticipated requests, only one scholarship per family will be awarded to ensure broad access.

Guide to Preparing Your Funding Application

You may use our sample letter or follow the tips below to write your own request for funding. These suggestions are meant as a guideline to help you share your family’s story and goals clearly and effectively.

1). Provide a Brief Summary Statement

I am requesting financial assistance to help cover travel and conference expenses so that I/my family may attend the Phelan-McDermid Syndrome Foundation International Family Conference in Aurora, Colorado, from July 15–19, 2026.

Tip: Be direct and specific about what you’re requesting (e.g., “support for travel and registration costs”).

2). Introduce your Child and Explain Phelan-McDermid Syndrome

My child, [Name], is [Age] years old and has Phelan-McDermid syndrome (PMS), a rare genetic condition caused by a deletion or change on chromosome 22. PMS can cause a range of medical, intellectual, and behavioral challenges. Common characteristics include intellectual disability, delayed or absent speech, autism, low muscle tone, motor delays, and epilepsy.

There is currently no treatment or cure, but families and researchers are working together to advance care and discover new therapies. More information about the condition can be found at the Phelan-McDermid Syndrome Foundation website.

Tip: This paragraph can be copied directly into your letter, or adapted to reflect your family’s unique experience.

3). Add a Few Details About Your Child's Personality and Strengths

Share a few sentences that bring your child to life, including but not limited to their personality, interests, and what makes them special. For example, mention favorite activities, communication style, or how they connect with others. This helps potential funders understand who they are supporting.

4). Provide a Statement of the Costs

Include estimated costs for airfare, ground transportation, hotel stay, meals, and conference registration. Be sure to explain how much of the total cost your family can cover and how much assistance you’re seeking.

Tip: Funders appreciate a clear breakdown and transparency about what their support will help achieve.

5). Provide a Statement of Your Goals In Attending the Conference

By attending the conference, I hope to gain valuable information to better support and care for [Name], our child with Phelan-McDermid syndrome. The conference provides direct access to leading experts and an invaluable network of other families who share our challenges and experiences.

It will also help us strengthen our family connections and find encouragement in a community that understands our journey.

(Optional: If siblings will attend, mention how this experience will benefit them as well.)

6). Describe the Purpose and Format of the Conference

The PMSF Family Conference is a four-day event focused on education, connection, and support for families affected by Phelan-McDermid syndrome.

Sessions will cover research updates, clinical care, and family resources, with presentations and panels on topics such as:

  • Clinical trials and emerging treatments

  • Regression, GI dysfunction, and epilepsy

  • Educational planning and transition to adulthood

  • Communication, therapies, and behavioral supports

  • Family and sibling support sessions

Attendees have the opportunity to hear from medical professionals, researchers, and experienced caregivers who share practical strategies and the latest scientific insights.

I am writing to ask for your financial assistance in providing travel and conference funding so that I (or my family and I) may attend the Phelan-McDermid Syndrome Foundation Family Conference, July 15-18, 2026 in Aurora, Colorado.

My son/daughter was born with Phelan-McDermid syndrome. Phelan-McDermid syndrome is a rare genetic disorder involving chromosome 22 that can affect many critical functions in a person’s body — from learning and communicating to eating and sleeping. This genetic difference results in intellectual and physical disabilities that vary from person to person. Some people with Phelan-McDermid syndrome lose essential skills, and most require long-term care and medical attention. There are currently only 3700 people diagnosed with Phelan-McDermid syndrome worldwide.

It is an extremely complex syndrome, involving extensive medical and physical difficulties that differ from person to person. In our case, Phelan-McDermid syndrome has affected my child in the following ways. (Insert a description of the physical, behavioral, educational challenges encountered and what you/your child have done to overcome them). (Hint: try to focus on the positive things & not the negative. You aren’t asking for sympathy here; you are asking for funding to help you do one more positive thing related to Phelan-McDermid syndrome.)

Because the syndrome is so rare, the Phelan-McDermid syndrome families are often widely dispersed in each state, and most only have an opportunity to meet at these conferences. We also have the opportunity to learn from a wide range of professionals from all over the world who are knowledgeable about Phelan-McDermid syndrome and its medical, educational, social, and developmental challenges. For most people diagnosed with Phelan-McDermid syndrome, the conference represents their only opportunity to interact with peers who cope with similar challenges.

Further, this conference is designed to support my (our) entire family. The conference provides exciting experiences for children with Phelan-McDermid syndrome and their siblings while their parents attend conference sessions. In addition, sibling support groups are led by trained counselors who provide a safe and fun environment for siblings to meet their peers and share their life experiences and the emotions that stem from having a family member who has multiple physical and developmental disabilities specific to Phelan-McDermid syndrome.

The Phelan-McDermid syndrome conference always provides information on cutting-edge medical, educational, genetic, and behavioral research and provides an opportunity to speak directly with the researchers as to ways to apply their research specifically to (my child’s needs). It strengthens our family’s bond with the worldwide Phelan-McDermid syndrome community of individuals and families who strive daily to deal with the challenges that Phelan-McDermid syndrome brings.  Spending this time with other parents of children and adults with Phelan-McDermid syndrome is invaluable.

The cost for me/our entire family to attend the conference will place a significant financial burden on my family.
